SharePoint 2010 Silent Features

SharePoint 2010 Silent Features



SharePoint 2010 is the business collobaration platform for the web enterprise that enables to connect and empower people through an integrated set of rich features.

Following are the few silent features from SharePoint 2010 version which I obeserved from the sneak preview. I will be explaining these features and how we can utilize them in our regular job by comparing with the existing version - SharePoint 2007.

Web Edit

This is an excellent feature where the content authors can modify the content inline on the page much quickly and easily when compared to SharePoint 2007. They can also view the preview immediately while changing the fonts or font size...

New User Interface

Now you can find the completely new user interface very much similar to the Office 2007, nothing but the Ribons. It has a contextual interface which makes the user to access the content with very less number of clicks and better performance.

User inteface is integrated with the Asynchronous access. Now its easy for the users to act easily on mutiple items in a single shot. For example when we want to checkout multiple files in a document library, we have to do those many number of time. Now we can do it in a single shot by selecting mutiple files in a document library.

Even you can see the revamped UI for the Central Administration. This makes the administrator to complete their job quickly and easily...

Seamless Image Uploading

In SharePoint 2007, when ever we want to show an image on a page, we will upload the image to a Picture Library and then we will provide the image link on the page. Now we can keep a pull stop for the long way doing this activity... We can seemlessly upload the images while we are editing the content using the Web Edit feature. You can resize the image with in the same browser.

Rich Themes

Apart from the out of the box themes, now you can we import the themes from the office. For example if you want to import the theme from a powerpoint, yes you can import the theme(colors, fonts, etc) to your sharepoint site with same look and feel across all the browsers.

Visio Web Access

In SharePoint 2007 we have a feature of publishing the Excell directly on to a web. Users can access the excell without having any dependency of excell installation on the client machine, which is great feature. Now in SharePoint 2010 Microsoft extended the similar concept to Visio. Using Visio 2010 we can publish the Visio diagrams onto the SharePoint Site and the users can directly access the same using the browser without any installation on the client machine.

BDC -> BCS

Now Business Data Catalog is Business Connectivity Services. Using BCS you can read and write data directly from your Line of Business Data. We can use either SharePoint Designer or Visual Studio to implement the same.

BCS has connectivity to LOB, Web Services, Databases and display the data in a friendly way enabling users to interact and update it easily on the web, offcourse on office client too.

Silverlight WebPart

Now Silverlight web part is available out of the box.

SharePoint Workspace

Most of the times we want to do the work offline on a list of items and then sync with the sharepoint list. We dont have any other option than going with an Excel. Now with SharePoint Workspace, we can take the sharepoint data offline to work and sync whenever hook to the network.

Usage Reports

There is a central database in the SharePoint Server farm to log usage data and also the health data. This provide us with different varities of usage reports which is not available in current version.

In a summary, SharePoint 2010 has a set of rich fetures for all different categories of users like administrators, IT Professions, Developres and End Users.

Designing SharePoint 2010 Workflows with Microsoft Visio

One of the great new features of SharePoint 2010 is the ability to open up the whole workflow design experience to business users. Many users are familiar with using Microsoft Visio these days and it has become almost a standard for defining business requirements graphically. Over the past couple of years we have noticed that more and more of our clients are using Microsoft Visio to mock up their process flows in the form of flow charts, or even putting together more complex swim lane diagrams.
Now, with the release of Office and SharePoint 2010, it is now possible to take output from Visio and use it to generate workflows within SharePoint.
Visio now comes with a new template under the Flowchart category called Microsoft SharePoint Workflow. This can be used to model business processes using conditions and actions that are SharePoint Specific.
1. To initiate a new process map, launch Visio, click on the File tab in the ribbon and then click on New.
2. You will be presented with the Choose a Template form. Click on the Flowchart category.

3. You will then be prompted to choose a template, choose Microsoft SharePoint Workflow

4. Choose the measurement unit that you prefer and click on Create.

5. You will then be presented with a new blank canvas on which to define your workflow process. In the picture (below) you can see the most common items that can be used to create a process map; these are included on the Quick Shapes navigation pane.
By clicking on any of the other three panes we can access a whole lot more actions and conditions.
Any workflow process must start with a Start action and each point where the workflow process may terminate requires an End action. In between these points, we are free to configure any number of conditions and actions in order to map out a real business process.

Common actions include starting a new out of the box SharePoint Approval workflow, sending an email or assigning a to-do item to a specific user (or group). Quite complex scenarios can be designed using these items.
So, the objective for the user is to define the process flow and make reference to every condition and action that may occur as the process is executed. The following image is a very simplistic representation of a workflow process modelled in this way.

The important thing for the user to do is label each of the actions and conditions correctly and ensure that any conditions have labelled Yes and No paths assigned to them.
Once the workflow is complete, it can be exported in a Visio Workflow Interchange format and sent to a more technical user who has access to the SharePoint Designer application. They can then import the exported map into SharePoint Designer where it is translated into a SharePoint workflow. They can then modify it and prime it for use, ensuring that it functions correctly and is associated with the correct document libraries, lists or sites. The workflow can then be published to a test SharePoint environment for verification.
6. Visio provides a tool to validate the map that you have drawn; this appears on the Process tab on the ribbon. It will detect errors such as not labelling the condition branches or missing Terminate actions.

Clicking on Check Diagram performs the check and reports any errors in a lower results pane. Fix any errors and repeat the checking until there are no further issues to resolve.
7. Once you are ready, click on the Export button on the Process tab. You are presented with a standard Save As dialogue that will enable you to select a location to save the file. The file will be saved as a Visio Workflow Interchange file with a .VWI extension. This is the format supported by SharePoint Designer.

8. The job of the designer is now complete and the responsibility passes to the user who has access to SharePoint Designer. The next step is to launch Designer and connect to the Site where you want to deploy the Workflow. Typically this will be a test site in order to validate the process. Once you have connected to the site, click on the Workflows link as shown below.

9. You can then access the Ribbon and Select Import from Visio.

10. Browse to the file that you saved earlier and open it. You can then give it a more meaningful name and decide whether or not this is going to be immediately associated with a SharePoint object, or be imported as a reusable workflow (more on this in a future post).

11. The workflow design will be imported and then rendered in the standard Designer pseudo-code style layout as shown below. You can then action each of the underlined items and assign specific values to them. An example from the screenshot below would be to assign users or groups to the these users fields.

12. Once you have configured the workflow you can publish it by clicking Publish on the Workflow tab. Note that you can also perform validation checks here by clicking Check for Errors.

13. The Workflow will now be available in SharePoint and accessible through the site or list that you have associated it with.
All in all, this is a great new feature and will make it a lot easier for power users and subject matter experts to get involved in SharePoint projects and will speed up the overall design to publish process. The important thing is that it puts the power of definition back into the hands of those who understand their business and who should therefore be able to model it more accurately. Granted, there is an element of IT involvement required, and this should always be the case in order to ensure that standards are maintained and processes are optimised for performance. As with anything, governance is critical and should always be a central part of any workflow project.
The only thing to bear in mind is that you do need Visio Premium and you will also need to download SharePoint Designer. As a rule, we would recommend that SharePoint Designer workflows are only used for specific departmental or project level solutions, and that enterprise workflows should be modelled with a more robust, measurable and scalable toolkit.

Connecting a SharePoint calendar to Outlook vs. Connecting an Outlook calendar to SharePoint

When you have an OOB calendar created with SharePoint 2010, connecting the calendar to display the information in Outlook is an easy task: one click on the “Connect to Outlook” button and follow the wizard.
However, I added the following requirements a couple days ago where a SharePoint user with full control privileges wanted to display the content of her Outlook calendar to a SharePoint calendar. I assumed that this task would be a matter of a one click again. However, it is a little trickier than it seems.
In fact, her team was using that Outlook calendar to update information and events. She was planning to continue updating via that same calendar in order to display the information on the SharePoint site. Unfortunately, the solution that I proposed involved using a new calendar and copying all existing events to the new SharePoint calendar. Moreover, the word “copy:” would appear in front of every single calendar item.
Therefore, the solution that I proposed is a work around to get the task done. This solution can be performed using the SharePoint UI and Outlook.
The tasks that we are going to perform, in order to display all events and be able to update via Outlook, are:
  1. Create a new calendar in SharePoint
  2. Connect the calendar to Outlook
  3. Copy all items from the Outlook calendar to the new SharePoint calendar
  4. Test that all updates from the Outlook calendar propagate diligently to the SharePoint calendar

Task #1

  • Go to your SharePoint site and create a new calendar using “site actions” >> “More options”
  • Filter by “Lists” and select “calendar”
  • Name it accordingly and hit “Create”

Task #2

  • Once on the newly created calendar, click “Connect to Outlook” from the global navigation menu
  • In the popup windows, click “Allow”, “Allow” and “Yes”. You should be able to see your SharePoint calendar on Outlook
  • Open in parallel the calendar that you want to copy over

Task #3

  • On the calendar that you are trying to copy, go to “Change View” and “List”
  • Once in the list view, make sure that you are targeting the right calendar
  • Select them all (Ctrl + A) and copy them all (Ctrl + C)
  • Go to the SharePoint calendar in the list view
  • Paste them all (Ctrl + V)
  • Confirm any popup window and let Outlook copy all items over

Task #4

  • Once all items are copied, go back to your SharePoint site calendar view
  • All future additions can be done via the Outlook interface or the SharePoint interface

FAST Search for SharePoint - Step by Step Instal

Task 1 – Setup FAST Search Center
  1. Open SharePoint Central Administration
  2. Click “Application Management”
  3. Click “Create Site Collection”
  4. Select the web application called “SharePoint –115”
  5. For site name, type “FAST Search”
  6. For url, type FAST
  7. For template, select “Enterprise->FAST Search Center”
  8. For site collection admin, type “Administrator”
  9. Click “Create”
Task 2 – Install FAST Search
  1. Run the following command to extract the files (beta installer doesn’t work quite right)
    • D:\Lab Work\<labno>\ en_fast_search_server_sharepoint_2010_beta_x64_x16-29476 /extract:c:\temp
  2. Run “C:\temp\PrerequistieInstaller”
  3. The splash screen will open:
  1. Click “Next”
  2. The prereqs for FAST Search will be installed
  1. Click “Finish”
  2. Run “fsserver”
    • This will create a new directory called “C:\FASTSearch”
  3. Click “Start”, right click “Computer”, select “Properties”
  4. Click “Advanced System Settings”
  5. Click “Environment Variables”
  6. Add the following to your path variable
    • “C:\FASTSearch\installer\scripts”
  7. Run the SharePoint 2010 Management Shell
  8. Run the following:
    • Psconfig.ps1 –action i –roleName single –userName contoso\administrator –localMachineName <FQDNservername> -databaseConnectionString <dbservername> –databaseName FASTSearch
  9. Enter the password, “Pa$$w0rd”
  10. For self signed password, type “Pa$$w0rd”
  11. Reboot the computer
  12. Run the following command:
    • ConfigureSharePointAuthorization –installedMode Advanced
Task 3 – Start Services
  1. Open the services applet, ensure the following are started:
    • All “FAST*”
    • Forefront*
    • SharePoint Server Search 14
    • SharePoint Foundation Search V4
Task 4 – Setup FAST Search Query Service
  1. Open SharePoint Central Administration
  2. Click “Application Management”
  3. Click “Manage service applications”
  4. Click “New->Search Service”
  5. For name, type “FAST Search Query”
  6. For the type, select “FAST Search Query”
  7. For the application pool for admin server, type “FASTSearchAdminPool”
  8. For the application pool for search query and site settings”, type “FASTSearchQueryPool”
  9. For Query Service Location, type “https://sharepoint2010.contoso.corp:13286”
  10. For Administration Service Location, type “net.tcp://sharepoint2010.contoso.corp:13256”
  11. For Resource Store Location, type “http://sharepoint2010.contoso.corp:13255”
    • NOTE: these port numbers are in the “C:\FASTSearch\Install_Info.txt” file – minus the actual protocol data unfortunately
  12. For account, type “contoso\administrator”
  13. Click “Ok”
  14. Click “Application Management”
  15. Click “Manage service applications”
  16. Click “New->Search Service”
  17. For name, type “FAST Search Connector”
  18. For type, select “FAST Search Connector”
  19. For application pool, type “FASTConnectorPool”
  20. For content distributor, type “sp2010.contoso.com:13329”
  21. For the content collection, type “sp”
    • NOTE: the content collection “sp” is the default one created by the install and configuration steps
  22. Click “OK”
Task 5 – Setup Certificate

  2. Type in and run a query

Keep in mind these steps are NOT for production (you wouldn't run your site on beta software would you, even if you did, I hope you paid for it). These steps will change at RTM. Some things to note:
1) install is using admin account (several of us just couldn't get ALL the features to work with separate service account in Beta)
2) we don't need loopback fix as all the sites are using specific ports instead of host headers.
Also, if you don't want to do a domain controller install, you could consider this route (http://bit.ly/4oAhpm), but my steps here may not work if you do.

  1. Start Hyper-V Manager on a 64bit server
  2. Click “Action->New->Virtual Machine”
